People and guests

A project has members, who are your team, and guests, who are everybody else on your site. Members sign in. A new project is for its members only: nobody else sees the notes, or that Notefix is there, until you let guests in.

Who can do what#

OwnerMemberGuest
Read notes, write notes, agree on decisions✓✓✓
Change, resolve and delete notes✓✓only their own
Create an issue✓✓only if you allow it
Pause a connection from the page✓✓–
Invite people, sites, guests on or off✓––
Change the project's name and address✓––
Connections and Slack✓––

The server enforces this. It does not just hide buttons: a guest's change to somebody else's note is not saved, and their page puts the note back the way it was.

A member's dashboard shows only what is theirs to use: where the notes are, the Notes list, the boards, and their own email settings. The tag, the sites, the people and the connections belong to the owner, so they are not on a member's pages at all.

Invite your team#

On the project's People tab, type an email and press Send invite. They get a link to join, which works once, for 14 days. If they have no account yet, the link makes one.

They do not have to use the link. Signing in to Notefix with the address you invited, anywhere -- on your site, or on the dashboard -- takes the invitation up on the spot, and the project is simply there.

Owners can cancel an invitation, and remove people. Anybody can leave a project, except its last owner.

Signing in on your site#

On your site, Sign in is beside the name box on a new note, and in Settings. It opens a small Notefix window: the person continues with Google or GitHub, or types their email and opens the link we send, and the window closes by itself. If the link opens in another browser, or the email is on their phone, the window also takes the code from that email. From then on their notes carry their account, which nobody else can put on a note.

Signing in on your site is separate from the dashboard, and separate for each site. Sign out everywhere else, on your account page, ends them all.

Guests#

Guests type a name, and their notes are marked guest, so your team can tell. They only exist on projects where you turned guests on. Each guest can change and delete only the notes they wrote, from the browser they wrote them in.

To change what guests may do, open People, then Guests:

Hearing back#

A guest can give an email in Settings, under Notifications, to hear when their notes are answered, filed or finished. We send one email to confirm the address first, and nothing else until they do. Every email has a link to change how often, or stop and remove the address.

Members choose their own email on the dashboard instead: see Email.

Keeping notes after signing up#

When somebody signs in from a browser where they left notes as a guest, Notefix asks: Keep your notes? Yes puts them under their account, with its name. Only the browser that wrote the notes can do this: copying a guest's name gets nobody anything.
